Role Description
This is a rare opportunity as the first employee of Foxifi and then help the company expanding the business across Fintech software, Payment systems, Global remittance, Crypto and other innovations.
We are seeking a highly motivated and organized Executive Assistant to provide direct support to the Founder & CEO and to help establish and grow Foxifi Technologies in the USA. This role is critical in coordinating the company’s setup, managing administrative operations, supporting both business and personal settlement needs, and participating in product testing to provide end-user feedback.
The ideal candidate is proactive, detail-oriented, resourceful, and comfortable working in a startup environment where responsibilities are diverse and evolving.
Key Responsibilities
- Manage CEO’s calendar, schedule meetings, and organize travel across the USA and AUS
- Prepare presentations, reports, and correspondence on behalf of the CEO.
- Maintain confidential company and personal records.
- Research and engage with external service providers (legal, compliance, CPA, licensing consultants, real estate agents, etc).
- Collect proposals, review pricing, and recommend options to CEO.
- Track deliverables and ensure deadlines are met.
- Assist with establishing business infrastructure (licenses, permits, insurance, utilities, office management).
- Support onboarding of new hires (admin staff, developers).
- Manage office supplies, vendor contracts, and basic bookkeeping tasks in coordination with CPA.
- When needed, help CEO and other employees with U.S. settlement, including housing arrangements, school applications, and daily logistics.
- Coordinate between USA and AUS schedules to ensure smooth business operations.
- Act as a reliable point of contact during CEO’s travel.
- Participate in internal testing of the company’s software products as an end user.
- Provide structured feedback on usability, clarity, and user experience.
- Document issues and suggestions for the product development team.
- Support marketing and event planning as needed.
- Assist in project management and tracking product development tasks.
- Provide ad hoc support to ensure smooth operations as the business grows.
