Job Description

Position Overview

We are conducting a search for a highly polished and energetic Traveling Assistant to support the Head of a film production company. This role is ideal for a proactive, service-oriented professional who thrives in dynamic environments and is comfortable managing both business and personal tasks. The position is based in New York City and requires frequent travel, often on short notice, both domestically and internationally.

 

The Traveling Assistant will work in close collaboration with the Executive Assistant to ensure seamless support and continuity. Flexibility, discretion, and a commitment to excellence are essential.

 

Key Responsibilities

  • Accompany the executive on business travel, providing hands-on support and ensuring all logistics are flawlessly executed.
  • Coordinate travel arrangements, including flights, accommodations, ground transportation, and itineraries.
  • Act as a liaison with hotels, vendors, and service providers to ensure a high standard of service.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Collaborate closely with the Executive Assistant to align on priorities, scheduling, and task management.
  • Support the executive with personal tasks and lifestyle management, both while traveling and in NYC.

Qualifications

  • Prior experience supporting a senior executive in a similar capacity, ideally with travel responsibilities.
  • Exceptional organizational skills and attention to detail.
  • Professional demeanor and excellent interpersonal communication.
  • Ability to anticipate needs and solve problems proactively.
  • Comfortable with a flexible schedule and frequent travel.
  • Tech-savvy and proficient in travel apps, calendar tools, and mobile communication platforms.
