Position Overview:

We are seeking a detail-oriented and organized Purchasing Administrator to join our team. In this role, you will support the Purchasing Department by reviewing open purchase orders, coordinating with vendors, processing payables, ensuring order accuracy, and assisting with additional administrative tasks as needed. Key Responsibilities:

• Follow and adhere to IOS Core Values: Dedication, Ownership, Integrity, and Team Player
• Review open Purchase Orders (POs) for accuracy, ensuring the following are complete and correct: Active and valid vendor quote, job site contact information, correct ship-to address.
• Process supplier order acknowledgements to ensure accurate part numbers and pricing.
• Follow up with vendors to confirm delivery dates and review order status for late shipments.
• Coordinate with the Project Management team to update Customer Required Dates as needed.
• Ensure Customer Date, Required Date, and Ship Date are consistent across all orders.
• Complete and manage Direct Shipment orders, including invoice review and documentation.
• Enter payables and assist with invoice verification and reconciliation.
• Support the Purchasing Team with administrative tasks and special projects as needed.

Qualifications:

• Entry-level candidates welcome; prior experience in purchasing or administration is a plus
• Proficient with Microsoft Office (Excel, Word, OneNote); experience with ERP systems like Comsense is a plus
• Strong attention to detail and organizational skills
• Ability to manage multiple priorities in a fast-paced environment.
• Excellent interpersonal and communication skills, with the ability to build relationships at all levels.
