Job Description

Job Title: Patient Access Specialist

Location: Chicago, IL

Comp: $18/hr

Position Overview

This is an onsite, full-time Patient Access Scheduler position. Training will take place Monday through Friday during standard business hours. After the training period, the schedule will shift to a permanent daytime schedule as assigned.

Responsibilities

  • Consistently practice a patient-first philosophy and uphold high standards of customer service.
  • Respond to questions and escalate extraordinary issues to the appropriate team members as needed.
  • Maintain confidentiality of all patient information per HIPAA guidelines.
  • Deliver exceptional service to patients and ensure a positive first impression.
  • Accurately identify and record patient demographic and insurance information.
  • Interact professionally with hospital departments and physician offices to schedule and direct patients in a clear, patient-focused manner.
  • Contact patients to schedule appointments and communicate any medical necessity requirements.
  • Inform patients of financial responsibilities or issues with account setup.
  • Complete estimates of patient out-of-pocket expenses upon request.
  • Maintain up-to-date schedules, complete tasks efficiently, and support coverage across departments as needed.
  • Participate in quality assurance reviews to maintain data integrity.
  • Follow all applicable policies and procedures; escalate service issues as they occur.
  • Accurately document all work in the appropriate computer systems.

Communication and Collaboration

  • Communicate clearly with patients and staff regarding insurance referrals, authorizations, and physician orders.
  • Maintain a professional, collaborative work environment with all teams.
  • Support internal customers to ensure they can focus on patient care.
  • Assist coworkers across departments and promote teamwork.
  • Adjust communication style to suit diverse communication abilities.

Technology

  • Utilize order retrieval systems to verify patient orders.
  • Verify insurance eligibility and benefits using appropriate tools and processes.
  • Accurately record scheduling and authorization notes in the designated EMR system.
  • Demonstrate proficiency with required computer applications and software.

Efficiency and Continuous Improvement

  • Prevent scheduling conflicts by verifying orders, tests, and appointment details.
  • Gather all required registration data accurately and enter it into the registration system.
  • Participate in continuous quality improvement activities.
  • Suggest process enhancements to improve efficiency and service.
  • Train new team members and act as a resource for best practices.
  • Adjust to changing healthcare policies and business needs.

Qualifications

Required

  • High school diploma or equivalent.
  • 2–3 years of customer service or medical office experience.
  • Strong communication skills, both verbal and written.
  • Strong computer and data-entry skills.
  • Typing speed of 40 wpm.
  • Ability to manage multiple priorities with attention to detail.
  • Effective organizational and problem-solving skills.

Preferred

  • Post-secondary education.
  • Additional language skills.
  • Healthcare finance or insurance experience.
  • Familiarity with medical scheduling or patient registration processes.
