Job Title: Loan Administation
Location: Santa Fe, New Mexico
Specifically, the Contractor shall provide the following services :
1. Oversee fiscal and administrative management of assigned projects.
a) Prepare funding agreements to conform to established policies,
procedures federal and state statutes.
b) Send agreements to communities and follow up at regular intervals on
return and execution.
c) Process encumbrance/change (purchase) orders in a timely manner.
d) Process pay (disbursement/vouchers) requests in a timely manner
e) Ensure agreements are accurately entered in agreement history in the Loan Grant Tracking System (LGTS), including when closed.
f) Ensure the encumbrance section of LGTS is updated with all change orders.
g) Ensure all warrant information is entered in a timely manner in LGTS to assist
with NMED reimbursement reconciliations.
2. Communication: Maintain frequent communication with Borrower’s regarding:
a) Status of agreement, until fully executed.
b) Updated documents including signature page.
3. Reconciliations and Reporting:
a) Assist with purchase order reconciliations
4. Administrative Tasks and Customer Service:
a) Support team regarding customer service inquiries and assist with various
administrative tasks such as audit confirmation replies and borrower annual
statements.
5. Internal Process Documentation:
a) Document internal processes and standard operating procedures (SOPs) to
facilitate knowledge sharing and continuous improvement.
