Job Description

Position Summary

The Facilities Coordinator provides essential support to the Director of Facilities & Expansion in maintaining and continuously improving UOVO's facilities and environments. This role plays a key part in the success of both small and large capital projects across new and existing locations. Additionally, the Facilities Coordinator is responsible for documenting, upholding, and enforcing UOVO's brand standards, including oversight of maintenance, compliance, and environmental monitoring.

Key Responsibilities

Project Management & Support:

  • Support Operations Managers by assisting with troubleshooting, decision-making, and providing oversight of facility environments, security, surveillance, and overall facilities strategy.
  • Assist Director of Facilities & Expansion with capital projects, ensuring current records of project status are maintained in the Facilities Meeting agenda and Microsoft Planner.

Facilities & Brand Standards Oversight:

  • Support the Director of Facilities & Expansion in UOVO's vision for décor, brand standards, and design.
  • Regularly document, update, and enforce facility and design standards across all locations.
  • Delegate tasks to team members at other facilities as needed.

Maintenance & Environmental Monitoring:

  • Perform real-time management of maintenance logs, the Facilities Planner, and service records (confirming all are being filed properly).
  • Regularly check the status of all tasks and follow up on recurring services and maintenance to confirm standards are upheld.
  • Monitor environmental sensors to identify trends, proactively notify Operations Managers of potential issues requiring service, and work to reduce equipment downtime.

Administrative & Compliance Functions:

  • Support on compliance items, including managing vehicle registrations and alarm permits.
  • Update the Capital Expenditure (CapEx) budget for current and new projects as needed.

Decision-Making & Collaboration:

  • Collaborate on decisions related to brand standards, facilities management, maintenance, and improvements.
  • Function and participate as a team member in meetings and special projects.
  • Perform other related duties as assigned.

Education & Experience

Required:

  • High school diploma, GED, or equivalent.
  • 3-5 years of progressive applicable experience (i.e. facilities management, project management, business administration).

Preferred:

  • Associate Degree in a related field (e.g., Facilities Management, Construction Management, Business Administration).
  • Experience in creating and reviewing RFPs (Requests for Proposal).
  • Experience with lease negotiations and understanding of T&Cs (Terms & Conditions).

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Requires finger and wrist manipulation more than 90% of the time.
  • Must be able to lift up to 20 pounds at times.

Travel Requirements

  • Regular and/or extended overnight travel to visit new or existing UOVO locations as required.
  • Hybrid role – no less than 2 days in the office per week.
