Position Summary
The Executive Assistant provides high-level administrative support to the C-Suite team, with primary support to the Chief of Staff and CFO. This role is critical to keeping executives organized, informed, and focused on strategic priorities. The ideal candidate is proactive, highly organized, and comfortable managing multiple priorities in a fast-paced healthcare environment. You will serve as a trusted partner to leadership, handling sensitive information with discretion and ensuring seamless day-to-day operations.
Key Responsibilities
Calendar & Schedule Management
•\tManage complex calendars for multiple executives, prioritizing and scheduling meetings
•\tCoordinate internal and external meetings, including room bookings and video conference setup
•\tAnticipate scheduling conflicts and proactively resolve them
•\tPrepare executives for meetings with agendas, briefing materials, and relevant documents
Meeting Support & Follow-Up
•\tAttend key meetings and take detailed notes
•\tTrack action items and follow up with responsible parties to ensure completion
•\tPrepare meeting recaps and distribute to stakeholders
•\tMaintain action item tracker and provide regular status updates to executives
Travel & Expense Management
•\tBook travel arrangements including flights, hotels, rental cars, and ground transportation
•\tPrepare detailed travel itineraries
•\tProcess and reconcile expense reports in a timely manner
•\tEnsure travel and expenses comply with company policies
Communication & Correspondence
•\tDraft, proofread, and edit emails, memos, and presentations on behalf of executives
•\tServe as a liaison between executives and internal/external stakeholders
•\tHandle confidential and sensitive information with discretion
•\tScreen and prioritize incoming communications
Administrative Support
•\tPrepare documents, reports, and presentations
•\tMaintain organized filing systems (digital and physical)
•\tCoordinate with other departments on cross-functional initiatives
•\tHandle ad-hoc projects and requests as needed
Office Reception (Arlington)
•\tServe as the welcoming presence at the front of the Arlington office
•\tGreet visitors, clients, and vendors
•\tReceive and manage packages and deliveries
•\tCoordinate visitor access with building management
•\tMaintain a professional and organized reception area
Qualifications
Required
•\t3+ years of experience as an Executive Assistant supporting senior leadership or C-Suite executives
•\tExceptional organizational skills and attention to detail
•\tStrong written and verbal communication skills
•\tProficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
•\tExperience managing complex calendars across multiple executives
•\tExperience booking travel and processing expense reports
•\tAbility to handle confidential information with discretion and professionalism
•\tProactive mindset with ability to anticipate needs and solve problems independently
•\tAbility to work in-office in Arlington, VA
Preferred
•\tExperience at a management consulting firm (McKinsey, Bain, BCG, or similar)
•\tExperience in healthcare, professional services, or fast-paced growth environments
•\tExperience supporting multiple executives simultaneously
•\tFamiliarity with project management tools (Asana, Monday, etc.)
•\tExperience with virtual meeting platforms (Zoom, Teams, Google Meet)
•\tNotary public certification or willingness to obtain
