Job Description

We're partnering exclusively with a leading architecture and design firm in Jersey City, NJ to find an experienced Administrative Coordinator who will be the heartbeat of the office. In this role, you'll ensure smooth day-to-day operations, support the leadership team, and bring a proactive, solutions-oriented mindset.

What You'll Do:

  • Oversee daily office operations, maintain supplies, and manage vendor relationships.
  • Serve as the primary HR point of contact for onboarding, benefits, and compliance matters.
  • Coordinate scheduling, answer phones, and provide general administrative support.
  • Assist with light accounting tasks, such as invoicing and expense tracking.
  • Support internal communications and provide direct assistance to leadership.
  • Contribute to marketing initiatives- from managing social media channels to assisting with proposals and occasional content creation.

What You'll Bring:

  • 5+ years in an administrative, office management or HR support role.
  • Exceptional organizational and time management skills.
  • Strong communication skills with a knack for problem-solving.
  • Experience with HR processes and basic accounting/bookkeeping.
  • Proficiency in Microsoft Office and/or Google Workspace; QuickBooks experience is a plus.
  • Marketing/social media experience strongly preferred.
  • Familiarity with architecture, design, or creative industry is a plus, but not required.
