Job Description

What You’ll Do

  • Assist project managers with scheduling, documentation, and coordination of construction activities
  • Prepare and manage submittals, RFIs, Change Orders, and Purchase Orders
  • Maintain organized records of contracts, drawings, and project correspondence
  • Assist project managers with preparing and submitting monthly pay applications to subcontractors
  • Track job progress and maintain organized records
  • Maintain and update project tracking systems
  • Track and report on project KPIs such as budget adherence, schedule milestones, etc.
  • File NTO’s, track lien releases, and other project specific documents
  • Procure and manage bid ponds, payment & performance bonds, and other project specific bond requirements
  • Assist with project closeout, warranties, and as-built documents
  • Procure and manage project specific insurance
  • Receive, organize, and manage invitations to bid and bid calendar
  • Support compliance with safety regulations and company policies
  • Provide administrative support for safety meetings, toolbox talks, and incident reporting

What We’re Looking For

  • 5+ years of administrative experience with a general contractor or similar sized (or larger) subcontractor
  • Strong Microsoft Office skills (Word, Excel, Outlook, Teams required)
  • Excellent communication and multitasking abilities
  • Highly organized and detail-oriented
  • Comfortable working in a fast-paced, team-oriented environment
  • Experience with QuickBooks Online is a plus
